The rise of cloud based file transfer services has tracked the increasing speed of the internet. Add to this the way cottage-isation has changed this industry with more and more people working from home and needing to send and receive large media files, sessions etc that need easy-to-use, secure and cost effective solutions.
In this article, we take a look at the cloud based file transfer services that we have come across as a team as well as others that have been recommended to us. For each provider we have included some information about the services they provide, a summary of the pricing options and where we have comments and recommendations from users, we have included these. We would like to thank all those that took the trouble to provide us with suggestions and comments to make this article as comprehensive as possible.
Everyone can continue to help by telling us in the poll at the end of this article, which cloud-based file transfer services you use. The results from this poll will further help others to decide which service to go for.
One of the reasons this came up in our working from home article was the area of data security, especially when we can be handling commercially sensitive content and how we move that around is an important part of our data security strategy. So as well as covering the usual suspects, we will also look at the more secure services too.
For example, when working with DreamWorks or Sony, they use their own systems and they have very strict security requirements and will only use approved third-party studios.
It’s all very well having a secure delivery system but one thing to consider is what happens to content before and after transfer. If you have multiple clients or clients that are working across multiple agencies on single to multiple projects, where does all the work-in-progress media reside and how well is it secured? How many systems and siloed drive stacks, or local CPU’s, containing media end up with copies of a project?
This is not intended to be an exhaustive list, but is a list of the services we have come across as well as services that have been recommended to us. If there is a service that you use that isn’t on the list then do tell us about it in the comments below.
Finally there is no preference in the order that we are presenting the different services, we have chosen to present them alphabetically.
Aspera is one of the most secure services on the list together with Media Shuttle from Signiant. Aspera comes from IBM and is pitched at a number of industry sectors including the banking and financial markets sector as well as media and entertainment, all of which need high levels of security. This is one really for big facilities but as a freelancer you may come across it as the service that your clients ask you to use.

Aspera Faspex is the industry standard, but definitely not practical for a private entity.
It’s not encrypted on my end, but it is “point to point”. Both sides need to have an account and a client portal. Have never had anything “leak” in 10 years of use.
Aspera or Signiant are the only true options that major studios will allow.

The Dropbox Business plan has 3 tiers. With Dropbox Business, you get even more security and collaboration features for your team. They appear to replicate the Team plans in the Dropbox Business tiers.

I get files from all kinds of services from clients. But for me and what I use to send back to them is Dropbox. Simple folder on my computer. I can control the folder structure and the sharing; passwords, expiration, etc. Love it.
Dropbox is great, but you should pay for the level above the standard service, especially if you plan on uploading and downloading various projects, that need to be available for any real length of time.
Dropbox is so powerful for use with Pro Tools that I can not imagine working without it. Everybody with shared permissions can open and work within Dropbox. It’s so fun to use in whatever part of the world you are in. The best $99 that you can spend on any cloud service for working with Pro Tools.
It’s pretty good as long as you’re coughing up the dough. But for simply sending a session or some audio files to someone who may not be a paying member or may not even have an account it’s not fun. You can’t just download a folder, you need to download it as a zip file and then unzip. Sometimes you need to add the folder to your Dropbox account and have enough space available in said account just to download the files.
Dropbox because many of my long format clients use it. Files can upload overnight and be available on my audio drive first thing in the morning.
We primarily use Dropbox Enterprise Class for the following reasons:

At Production Expert Ltd we have Google Drive as part of of our G-Suite and use it for sharing documents and spreadsheets within the team. Once you need more than 15GB then you now get referred to Google One.

I use Google drive for transferring and keeping an archive of stuff you need as part of a traveling toolkit. I've used it for about 5 years, and as long as you have the space you need on it, it's great.
Been using Google Drive for my stuff. I like to have services that have an actual app instead of a web-based download so files can sync in the background, pause, resume, they automatically start downloading as soon as a client has uploaded to a shared folder, etc.
Google Drive is my go-to. I pay for the 100 GB.
Hightail - Formerly YouSendIt - About To Be Opentext
YouSendit was one of the earlier players in the cloud based transfer services market and gained traction when people wanted to be able to ‘email’ files that were too large to attach to an email. YouSendIt became Hightail and now Hightail is about to become Opentext.

I use a private server that you can access remotely, create a folder for each client that’s password protected for them to send and receive files.
Synology Disk Station - Password protected folder per client accessible as NAS from my computer and as a web page with login for clients. Encrypted .rar files (small file size for .wav)
I've created my own, it's unlimited size and fast upload/download (consistent), for a personal use is quite simple to manage, even to receive work from clients, I create a user for each client and give them username and password + quota :)
I run a self-hosted ownCloud instance on a linux server of a trusted (at least by me) server provider. This gives me maximum flexibility and control (encrypted drive) and I do run a bunch of other services on that machine. I will admit though that this option requires a lot of dedication/time and work. And also: with great power comes great responsibility! But I enjoy doing that :)
Our own Alan Sallabank built his own and you can read all about it in his article How I Built A Network Storage Server For My Pro Tools Post Production Facility For Less Money Than A NAS. The cost of this was £450 (including UK taxes).

For example Mike has an account from the BBC so that he can upload finished mixes to the BBC ready for transmission.

Pricing is fairly inexpensive when comparing it to Aspera’s tech. Dropbox (not qualified), WeTransfer (not qualified), SFTP (pain in the...). It’s the most secure protocol that’s given by the CDSA at a cost that’s easily favoured amongst us in post. Truth is we have to use them all in dealing with outside shows/clients/deliveries. Most small-to-mid post houses are on it though and it’s definitely the “go-to”.
We use Media Shuttle at work but I find it pretty limited for quick collaboration.
Aspera or Signiant are the only true options that major studios will allow. I have a Media Shuttle login from the BBC as I frequently deliver to them.
When delivering audio to the BBC I use Media Shuttle from Signiant. Its their delivery method for AS-11 files but can be used to send any file type quickly and securely. The Signiant app runs in the background on my Mac, I login to the Media Shuttle Send Portal via Safari and then upload files. The files can only be sent to registered email addresses. For increased security I can opt to add a password to each delivery. It's blisteringly fast and extremely secure, you get what they pay for!

WeTransfer because you know when your clients download your files.
WeTransfer for at ease of use. Its especially useful when I'm working at other studios and I'm not credentialed to use their FTP servers.
Even if you use the free service, it puts on a seven day expiry. So it’s on the client to download the files in time. If not they’ll have to admit to being lazy and delaying things.
WeTransfer is what most production companies send stuff to me by. I don’t use Dropbox as I have various email addresses and permissions become confusing and a pain. WeTransfer allows up to 20GB transfers and is pretty fast.
WeTransfer is great for anything that's under 2GB... especially approvals, dialog/VO recordings. It's super-simple for the clients to use. It's not an endorsement for the service. It's just the one that the majority of the clients are content using without the email that starts "how do I..." or "I can't figure out..." or "where is my..".
I have a lot of clients that will use WeTransfer.
I have a Wetransfer Plus account which works brilliantly for me. I love the fact that my uploads stay in the cloud until I decide I want to get rid of them.
I’m a big fan of WeTransfer for sending zipped up sessions and voiceover work. The Plus plan lets you customise the wait screen background. It’s like message on hold for file transfers!
